Every supplier in Doba's catalog was vetted, questioned, and in some cases turned away by a real person on our Supply Chain team before a single product ever showed up in a dropshipper's store.

I sat down with three members of that team — Meg Sherwood, Garrett Phillips, and Kirk Cunningham — to talk through what dropshipping quality control looks like day to day at Doba, what gets a supplier disqualified, and how sellers can avoid bad suppliers in dropshipping without having to do the vetting themselves. Here's our conversation, lightly edited for length.

Haley: Let's start with introductions. Can you each tell me your role and how it benefits our customers?

Kirk: I manage the Supply Chain team. I help the team support and improve our current suppliers, as well as find new great suppliers. Our dropshippers not only need variety and an ever-expanding catalog, but they also need our current catalog to be visible and full of great quality. There's plenty of great suppliers with great products who need a bit of help to make a great listing — which can save our dropshippers a ton of time and headache.

Meg: I help onboard suppliers and monitor their account health. My job is to make sure that there are quality listings at good prices from our suppliers for our retailers to sell.

Garrett: I'm an Account Manager at Doba. My role involves directly supporting our supplier partners throughout their lifetime at Doba. I walk them through their onboarding process and ensure that their store is set up for success. Once onboarding is complete, I offer daily services and maintenance for continued success on the Doba platform.

Haley: So between the three of you and the rest of your amazing team, a supplier gets found, vetted, onboarded, and then watched over for as long as they're on the platform.

Kirk: That's the idea. Quality control at Doba isn't a one and done deal. It's continous.

Haley: Let's get into the actual process. How does Doba find and bring on new suppliers in the first place?

Garrett: We strive for excellence and quality at Doba. To find quality products and supplier partners, Doba uses various resources. In-person tradeshows, social media marketing, and word-of-mouth connections are just a few ways we find top-tier suppliers.

Kirk: So long as they're great quality, there's no "wrong" supplier for Doba and our dropshippers. We certainly have some category focuses, but most of our process includes vetting out suppliers who might cause issues for our dropshippers. We love our suppliers, but we're here to give our dropshipping partners the best possible experience and highest possible ability to sell.

Haley: Garrett, can you walk through an actual example of a supplier you vetted?

Garrett: Sure — supplier partner Amoré Paperie was vetted in person at the Atlanta Market tradeshow. To perform an introductory qualification, I ask four simple questions: Can you ship directly to consumers? Do you have inventory in the US? Can you support the drop ship model? And can you provide legal documentation for any branded items that you sell? If a partner answers yes to all of these, like Amoré Paperie did, then I can move forward with the partnership.

Haley: Those four questions sound simple, but I imagine they filter out more suppliers than people would expect.

Garrett: They do. It's a quick conversation, but it tells us almost everything we need to know about whether a supplier can actually operate in the drop ship model — not just whether they make a good product.

Haley: This is the part I think a lot of dropshippers are really curious about. Have either of you ever told a supplier no, and why?

Garrett: I've disqualified multiple potential partnerships at tradeshows. Usually these partners don't support the dropship model. Other reasons for disqualifying a partner include no direct-to-consumer shipping, no inventory stocked in the US, and no authorization to resell branded products as a distributor.

Kirk: We wouldn't want to name names here, but quality is king. If a prospective supplier doesn't have a good handle on logistics, customer service, listing quality, quality control, or any other number of important factors, then we'll ask them to apply at a later date after they've made some improvements.

Haley: So it's not always a permanent no — sometimes it's just a "not yet."

Kirk: Exactly. We'd rather bring on a supplier once they're ready than rush a partnership that's going to create problems for the dropshippers relying on them.

Haley: That's really the core of how to avoid bad suppliers in dropshipping, isn't it — most sellers don't have the leverage or the relationships to ask a supplier "can you ship direct to consumer" and get a direct answer. That's the work Doba is doing on the back end.

Kirk: That's a big part of the value, yes. A dropshipper shouldn't have to become a supplier auditor on top of running their store.

What Doba's Team Actually Looks For in a Quality Supplier

Haley: Let's talk standards. What specifically do you look for when it comes to quality suppliers?

Garrett: Quality suppliers have the following credentials: US inventory, short processing times — three business days or less — fair profit margins for our retailers, meaning at least 30% off MSRP, quality pictures and product descriptions, and good response times for our Doba team.

Kirk: Great products, alongside great pricing, is by far number one. But good logistics, customer service, listing quality, QC, and a number of other factors are all important too.

Haley: Meg, from the onboarding and account health side, what does "quality" look like once a supplier is actually live?

Meg: It's really about keeping listings accurate and priced fairly over time. A supplier can pass every check on day one, but if their listings get stale, their pricing drifts, or their response times slip, that's just as much a quality issue as anything we'd catch during vetting. Monitoring account health is how we catch that before it becomes a problem for our retailers.

Haley: That's a good distinction — quality control doesn’t just happen at the front door, it's ongoing maintenance.

Meg: Right. Onboarding gets a supplier in the door. Account health monitoring is what keeps them there.

Garrett: Our suppliers are here to sell! And they need quality, hardworking retailers to sell for them. Our supplier base is responsive and eager to improve. And we at Doba are always striving to improve our catalog, offer good deals, and move products.

Kirk: Make sure to regularly scroll through the catalog. We're investing significant effort into finding new suppliers, as well as pushing our current suppliers to upload more products, improve their listing quality, and sharpen their prices. You'll be delighted at the great products you can find.
